Managing a large portfolio of communities across Alberta focused on operational excellence and community experience, the team sought a more consistent and scalable approach to vendor compliance, procurement, and risk mitigation across their portfolio.
Managing vendor compliance across a growing portfolio created operational friction for site-level teams. Vendor onboarding, credential collection, procurement, and compliance verification often required manual follow-up, creating inconsistencies across properties and increasing administrative workload.
Without a centralized system, teams faced challenges ensuring vendors met custom compliance requirements before project work began — increasing the risk of delays, incomplete documentation, and additional operational burden.
Manual vendor management processes made it difficult to maintain consistency across buildings and teams. Site-level staff spent valuable time chasing documents, validating credentials, and following up with vendors, taking focus away from higher-value operational priorities.
At the same time, inconsistent vendor readiness created downstream challenges during project awards, including delays, payment bottlenecks, and increased exposure to vendor risk when contractors were not fully compliant at the start of work.
Using VendorPM to manage compliance across their preferred vendor program, ensuring vendors met specific credentialing requirements before being approved to work with communities.As a result, 73% of vendors achieved compliance with Associa's standards and became pre-approved partners. At the time of project award, that number climbed to 80%, ensuring the vast majority of awarded vendors were fully compliant and enabling faster project starts with reduced administrative risk across 803 buildings.
They achieved meaningful cost savings by running competitive bids through VendorPM's centralized eTendering platform. With 262 RFXs issued through the system, the structured process enabled greater transparency and more competitive vendor pricing across the portfolio. On average, projects awarded through VendorPM came in 27% under budget across Associa's Alberta condominium portfolio, demonstrating measurable procurement efficiency.
